1. Who We Are
Global Volunteer Recognition Program LLC, also called “we,” “us,” or “our,” operates the Global Volunteer Recognition Program Volunteer App. The app provides a private volunteer journal, hour tracker, and digital in-app badges.
For privacy questions or requests, contact hello@globalvolunteerrecognitionprogram.com.
2. Scope
This notice explains how we collect, use, disclose, retain, and protect personal information through the web app and any future mobile version. It applies worldwide. Additional rights may apply based on where you live.
3. Information We Collect
Account information
We may collect an email address, display name, account identifier, authentication records, account tier, and purchase-access status. Passwords are handled by our authentication provider and are not available to Global Volunteer Recognition Program in readable form.
Volunteer journal information
Journal fields are optional. If you choose to provide them, we may collect dates, volunteer hours, locations, organization names, activity types, activity descriptions, reflections, supervisor names, supervisor sign-off status, uploaded photographs, supervisor signatures, and precise GPS coordinates.
Children and parent information
For users under 18, we may collect an age range instead of a full birth date, a parent or guardian email address, the parent or guardian’s name and relationship to the child, consent records, and the method and status of consent verification. See our Children’s Privacy Notice.
Technical and security information
We may process IP address, browser and device information, request timestamps, error logs, authentication events, and security signals needed to operate and protect the app. We do not currently use behavioral advertising or third-party advertising trackers in the app.
Purchase information
If you obtain Premium access through the Global Volunteer Recognition Program store or a future app store, the payment provider processes payment details. Global Volunteer Recognition Program may receive your email address, order status, product purchased, and entitlement status. We do not receive complete payment-card numbers.
4. How We Use Information
- Provide authentication, the volunteer journal, timer, exports, and digital badges.
- Save and display information the user chooses to enter.
- Verify free or Premium access and support purchases.
- Respond to support, privacy, parent, and account-deletion requests.
- Prevent fraud, abuse, unauthorized access, and security incidents.
- Maintain required consent and compliance records.
- Improve reliability and accessibility using limited operational information.
Where applicable, our legal bases may include performing a contract, consent, compliance with legal obligations, and legitimate interests in securely operating and improving the service. A user or parent may withdraw consent, but withdrawal does not affect processing already lawfully completed.
5. Optional Sensitive Features
Precise location, photographs, and signatures are off or empty by default. The app requests location only after the user selects the location button and the device grants permission. These features are not required to create a journal entry. For child accounts, they will remain unavailable until verified parental consent covers their collection and use.
A map link opens Google Maps only if the user chooses to open it. Google’s own terms and privacy practices then apply.
6. When We Disclose Information
We do not sell personal information. We do not share personal information for cross-context behavioral advertising, and we do not use children’s information for targeted advertising.
We may disclose information to service providers that help operate the app, subject to appropriate agreements and access controls. Current or planned providers include:
- Supabase for authentication, database services, and future private file storage.
- Cloudflare for hosting, delivery, security, and abuse prevention.
- Render during the controlled hosting transition and rollback period.
- Shopify and future Apple or Google payment systems for purchases and entitlements.
- Email service providers for authentication, consent, security, and support messages.
We may also disclose information when required by law, to protect safety or legal rights, or as part of a business transaction subject to appropriate protections. We will not disclose a child’s information for a nonessential purpose without separate verified parental consent.
7. Who Can See Journal Data
Journal information is intended to be private. The signed-in user can access their own entries. Authorized Global Volunteer Recognition Program administrators may access information only when needed for support, safety, compliance, or account administration. Other users cannot view a user’s journal through the app.
8. Retention
| Information | Retention approach |
|---|---|
| Unapproved minor registration request | Deleted within 30 days after expiration or rejection unless a shorter period is required. |
| Volunteer journal, GPS, photos, and signatures | Kept while the account remains active and the record is needed by the user. Deleted when the entry or account is deleted, or when a parent revokes consent for a child. |
| Child account information | Reviewed at least annually and retained only while reasonably necessary to provide the requested service. It is not retained indefinitely. |
| Consent verification records | Kept while the account is active and for up to three years afterward when reasonably necessary to document compliance, then deleted or de-identified. |
| Operational security logs | Generally up to 12 months, unless needed longer to investigate abuse or comply with law. |
| Account deletion request | Scheduled after a seven-day cancellation period and ordinarily completed within 30 days. Limited backup remnants may remain for up to 90 days. |
| Purchase and tax records | Retained as required for transaction, accounting, fraud-prevention, and legal obligations. |
9. Your Choices and Rights
All users may request access, correction, export, or deletion of their personal information. Depending on location, users may also have rights to restrict or object to processing, withdraw consent, receive portable data, or appeal a decision. California residents may request to know, correct, or delete information and receive equal service for exercising privacy rights. We do not sell or share personal information as those terms are used for behavioral advertising.
Use the in-app controls, visit Delete Account, or email us. We may verify identity before completing a request. A parent or guardian may review, correct, or delete a child’s information and revoke consent at any time.
10. Account Deletion
Account deletion removes the authentication account and associated journal entries, photos, signatures, GPS information, badge awards, profile, and entitlement record unless limited information must be retained by law. Deletion does not automatically cancel a subscription managed by Apple, Google, Shopify, or another payment provider. Follow that provider’s cancellation instructions as well.
11. International Processing
Global Volunteer Recognition Program is based in the United States. Information may be processed in the United States or other countries where our providers operate. Where required, we rely on contractual and other safeguards for international transfers.
12. Security
We use access controls, encrypted connections, restricted administrative access, row-level database security, and service-provider safeguards. No system can guarantee absolute security. Contact us promptly if you believe an account or information has been compromised.
13. Changes
We may update this notice when the app, providers, or legal requirements change. We will post the updated date and provide additional notice or obtain new consent when required.
