1. Operator and Contact
Global Volunteer Recognition Program LLC operates the Global Volunteer Recognition Program Volunteer App.
Parents and guardians may contact us at hello@globalvolunteerrecognitionprogram.com to ask questions, review a child’s information, revoke consent, or request deletion.
2. What the App Does
The app lets a volunteer keep a private journal of activities and hours and earn digital in-app badges. It is not a public social network. A child’s journal is not displayed to other users.
3. Age Screening
We ask for an age range, not a complete date of birth:
- Under 13
- 13 through 17
- 18 or older
We use the age range only to apply the correct privacy and consent protections. We do not ask children to misstate their age or collect more age information than reasonably needed.
4. Information We May Collect from a Child
After required consent is verified, the app may collect:
- Email address, display name, account identifier, and authentication information.
- Optional volunteer dates, hours, locations, organization names, activity descriptions, and reflections.
- Optional supervisor name, sign-off status, and signature.
- Optional photographs selected for upload.
- Optional precise latitude and longitude when the user deliberately selects the location button and grants device permission.
- Digital badge progress and awards.
- Limited device, request, and security information needed to operate and protect the app.
The app does not require GPS, photographs, signatures, or any journal field. Geolocation is off by default and is collected only for the specific entry where the user chooses it.
5. Information We Collect from a Parent or Guardian
We may collect the parent or guardian’s name, email address, relationship to the child, consent choices, verification method, verification date, and communications relating to the child’s account.
6. How We Use the Information
- Create and secure the approved account.
- Save and return the volunteer records the user chooses to enter.
- Calculate badge progress and provide exports.
- Provide support and communicate with the parent or guardian.
- Prevent fraud, abuse, and unauthorized access.
- Document and honor consent, review, correction, and deletion requests.
We do not use a child’s information for targeted advertising, behavioral profiling, sale, or unrelated marketing.
7. Service Providers and Disclosure
Information may be processed by providers that are necessary to operate the app, including Supabase for authentication and storage, Cloudflare for hosting and security, Render during the hosting transition, and email providers for account and consent messages. These providers may process information only to provide contracted services and protect the system.
We do not make children’s information public. We do not disclose it for nonessential purposes unless a parent separately gives verified consent. We may disclose information if legally required or necessary to protect a child or another person from serious harm.
8. How Parental Consent Is Verified
For independent teen accounts using the existing consent process, Global Volunteer Recognition Program will:
- Send the parent or guardian a direct notice describing the information and planned uses.
- Receive consent from the parent or guardian.
- For the teen email-approval option, send a private link to the parent or guardian’s separate email address. The adult states their name and relationship, reviews the notice, and approves the teen’s own account. Email approval confirms access to that mailbox and the adult’s declaration; it is not government-ID verification. Other requests may use the existing administrator-reviewed process.
- Record the approval and send an account setup link to the teen. The teen chooses their own password and accepts the privacy notice and terms before accessing their journal. A routine signed form or video call is not part of this teen email option.
Global Volunteer Recognition Program currently applies a parent-permission requirement to users ages 13 through 17 as an additional safety measure. The verification level may be adjusted to meet the law of the child’s location.
9. Parent and Guardian Choices
A parent or guardian may:
- Consent to collection and internal use without consenting to nonessential disclosure.
- Review the personal information associated with the child.
- Ask us to correct information.
- Refuse further collection or use.
- Revoke consent at any time.
- Delete individual entries or request deletion of the child’s account and information.
We will verify the requesting adult’s identity before providing access to or deleting a child’s information.
10. Retention
| Information | Timeframe and purpose |
|---|---|
| Unapproved registration request | Up to 30 days after expiration or rejection, only to complete or document the registration process. |
| Active child account and journal | Only while needed to provide the private journal requested by the child and parent. Need is reviewed at least annually. |
| GPS, photographs, and signatures | Until the entry is deleted, consent is revoked, or the account is deleted. |
| Consent record | While the account is active and up to three years afterward when needed to document compliance, then deleted or de-identified. |
| Deleted data in backups | Removed from active systems during deletion and from limited backup copies within 90 days. |
Children’s personal information will not be retained indefinitely.
11. Data Security
We use encrypted connections, private accounts, row-level database controls, restricted administrator access, and provider safeguards. Parents should help children protect passwords and avoid adding unnecessary sensitive details.
12. Changes and New Consent
If we materially change what we collect, how we use it, or who receives it, we will update the notice and obtain new parental consent when required.
